Privacy notice
How Community Ride Hub handles personal information collected through this website.
Which forms send personal data today
The following forms on this website send personal data when you submit them: Register a transport need; contact; membership application; referral; volunteer enquiry; driver enquiry; training enquiry; MiDAS Driver Assessor pathway expression of interest; and journey requests from Request a journey. Register a transport need and journey requests are stored via Veyvio Incoming Interests. The other forms are stored securely so we can reply and plan. None of them confirms a journey or opens membership on its own.

What this notice covers
This notice covers information collected through this website: through any form that is live, through emails sent to our published address, and through basic technical logs generated by visiting the site. It is written to be consistent with our Data Protection Policy. This notice covers the live forms named above; purposes and retention for each are summarised in the sections below and will be expanded as services develop.
What we collect, and why
- If you email us, we collect your name, email address and whatever you tell us, in order to reply to you.
- If you use the Register a transport need form, we collect your name and contact details, locality, whether you are registering for yourself or on behalf of someone else, journey types and frequency, optional mobility or access needs, whether a professional is involved, and any notes you choose to add. We use this to contact you when membership opens, to plan the service, and to produce anonymous totals for funders and commissioners.
- If you use the contact, membership, referral, volunteer or driver forms, we collect the details those forms ask for so we can reply and take the next appropriate step. Membership and referral forms may include special-category information where you choose to give it.
- If you use the training enquiry form, we collect organisation and contact details, the scheme you are interested in, and a description of need, so we can understand demand and reply. This is not a course booking.
- If you use the MiDAS Driver Assessor pathway form, we collect your contact details, role, experience and preferred timeline as an expression of interest only — not an application to a programme.
- Basic server logs (such as page requests) may be generated by our hosting provider for security and reliability purposes.
Special category data
The Register a transport need form may include optional mobility or access information (for example wheelchair access). That can be health or disability-related information, which UK GDPR treats as special category data. We only ask for it so we can plan accessible transport; it is optional; and we rely on your explicit consent (given when you submit the form) as the Article 9 condition for holding it for that purpose. Membership and referral forms that collect health or care details more fully will only go live once their Article 9 basis is stated clearly on those forms.
Who we share information with
We do not sell or share personal information for marketing purposes. Register a transport need and journey request submissions are processed using the Veyvio Command platform (Incoming Interests) so our team can review and respond to them. Veyvio acts as a processor on Community Ride Hub's instructions for that purpose. We will name any further processors that handle passenger or member data here once those relationships begin, along with whether any data leaves the UK.
How long we keep information
Interest registrations are kept while we are preparing to launch and while we may still need to contact you about membership, and for a reasonable period afterwards for audit and demand-evidence purposes — or sooner if you ask us to delete your entry.
Contact, volunteering, driving, training and assessor-pathway enquiries are kept while we need them to reply and follow up, then deleted or anonymised once that purpose ends — or sooner if you ask us to delete them.
Membership applications and professional referrals may include special-category information. Purpose-specific retention periods for those forms will be published as a full schedule — full retention schedule per purpose — and will not be invented on this page. Until that schedule is Board-approved, we keep only what is needed to handle the submission and respond to rights requests, and we stamp each record with the privacy-notice version in force at the time of collection (privacy_version "2026-08").
Your rights
- To ask what personal information we hold about you, and to see a copy of it
- To ask us to correct information that is wrong
- To ask us to delete information, in some circumstances
- To object to, or ask us to restrict, certain processing
- To withdraw consent where we rely on consent (including special-category mobility details on the interest form)
- To complain to the Information Commissioner's Office (ICO) if you are unhappy with how we have handled your information
To exercise any of these rights, email us at hello@communityridehub.org.uk. You can find out more about your rights and how to complain to the ICO at ico.org.uk.
